Privacy Policy

Arasso (“we”, “us”) is operated by Lingwei Wu (ABN 24 426 726 719), based in Australia. This policy explains what information we collect when you use the Arasso desktop application and the arasso.im website, how we use it, and the choices you have. We handle personal information in accordance with the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles.

The short version

  • We do not store your audio. Meeting audio — and, in interpreter mode, your microphone audio — is streamed for live transcription, translation, and speech synthesis while a session is active, then discarded.
  • Caption text is kept for 90 days. We retain transcripts and translations on our servers for 90 days to monitor and improve caption quality, then a daily automatic job deletes them. Your local transcript history stays on your device, and you can delete it anytime.
  • We never sell your personal information.

Information we collect

Account information. When you create a Arasso account, we collect your email address and, if you sign in with Google, the basic profile information Google shares (your email and name). We use this to create and secure your account. We do not store passwords — sign-in uses one-time email codes or Google sign-in.

Subscription and payment information. Payments are processed by Stripe. We receive your subscription status, plan, and billing country from Stripe. We never see or store your full card number or other payment credentials.

Usage information. To operate free-tier limits and subscriptions, we record session metadata: when a session started and ended, its duration, whether it was a caption or interpreter session, the vocabulary profile (“caption scene”) and language pair used, and counts such as the number of translations performed. We also collect technical diagnostic events from the desktop app, such as connection failures, reconnect attempts, and crash reports. These contain error codes and technical messages only — never your audio or caption text — though messages may include technical identifiers such as device names. Diagnostic events are retained for 90 days after we receive them, then deleted automatically.

Device identifier. Each session carries a device identifier. The app derives it from an identifier your operating system assigns to the computer (the Windows machine GUID or the macOS platform UUID), combines it with a secret value, and passes the result through a one-way hash, so what reaches us is a fixed-length code that cannot be reversed to the original value. Because it is derived from the computer rather than from the app installation, it stays the same when you uninstall and reinstall Arasso and changes only if the operating system is reinstalled. Where the operating system value cannot be read, the app uses a random identifier stored with its data instead. Apps upgraded from earlier versions may also send the random installation identifier those versions used, so that limits already applied to a computer carry over. We use the identifier to enforce free-tier limits per device (a limited number of free accounts may be used on one computer), to allow one active session per account at a time, and to detect and prevent abuse.

Connection metadata. When the app connects to our servers we record metadata used to diagnose connection and latency problems: a truncated form of your IP address (we do not store the full address), the approximate region and network provider derived from it, and information about your device environment such as operating system version, hardware capacity, and audio device names. This metadata is kept with your usage records.

Support communications. If you email us, or send us a problem report from the app’s “Report a problem” page, we keep the correspondence — including the report text and the technical details attached to it (app version, operating system, session identifier) — so we can help you. Problem reports you submit are support records rather than diagnostic telemetry, so the 90-day diagnostic deletion above does not apply to them; they are deleted with your account.

Meeting audio, captions, and translation

When a caption session is active, the audio playing on your computer — typically a meeting or call — is streamed from your device to our relay server, which forwards it to our speech-recognition and translation providers. The resulting captions are sent back to your device and displayed in the overlay.

When interpreter mode is active (available in the macOS app), your microphone audio is streamed the same way, and a synthesised voice speaking the translation is generated by our speech provider and sent back to your device, where it is played into your meeting through the Arasso Microphone device.

  • Audio is processed in transit for the sole purpose of producing captions and, in interpreter mode, the interpreted voice. We do not store your audio or the synthesised voice on our servers.
  • Caption text (transcripts and translations, including the text of what you said in interpreter mode) is retained on our servers for 90 days so we can monitor and improve transcription and translation quality, then deleted by a daily automatic job.
  • Caption text is also saved as local history on your device, so you can review past sessions. You can delete individual sessions or all history from within the app at any time. Uninstalling the app or deleting its data folder also removes this history.

Meeting audio includes the voices of other participants. Some jurisdictions require the consent of other parties before a conversation is recorded or transcribed. You are responsible for using Arasso in accordance with the laws that apply to you and the rules of the meeting platform you use.

Some of these providers process data outside Australia (primarily in the United States). Where that happens, we take reasonable steps to ensure your information is handled consistently with the Australian Privacy Principles.

Data retention

  • Audio: not retained after processing.
  • Caption text (transcripts and translations): retained for 90 days, then deleted by a daily automatic job.
  • Diagnostic events: retained for 90 days after we receive them, then deleted by a daily automatic job.
  • Problem reports and support email: retained while relevant to supporting you, and deleted with your account.
  • Account and usage records: retained while your account is active. If you ask us to delete your account, we delete or de-identify your records within 30 days, except where we must keep them for legal, tax, or accounting reasons.
  • Local transcript history: retained on your device under your control.

Security

We use encryption in transit (TLS) for all connections between the app, our servers, and our providers, and we restrict access to production systems. No system is perfectly secure, but we take reasonable steps to protect your information from misuse, loss, and unauthorised access.

Your rights

You may request access to, or correction of, the personal information we hold about you, or ask us to delete your account, by emailing support@arasso.im. If you have a privacy concern, contact us first and we will respond within a reasonable period. You may also complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

Children

Arasso is not directed at children under 13, and we do not knowingly collect personal information from them. If you believe a child has provided us personal information, contact us and we will delete it.

Changes to this policy

We may update this policy as the service evolves. We will post the updated version on this page and update the date above. We may notify you of material changes in the app or by email.
